Step-by-step: the switch in five steps
Step 1: Export everything (week 1)
Download your client list, your future appointments and your service menu. Save open gift card balances separately. Keep these files somewhere safe; they are your backup.
Step 2: Set up the new system (week 1)
Add your services, prices, opening hours and team, then import your clients. Good software can do most of this for you. Check every service once: duration, price, buffer time and who can do it.
Step 3: Run both systems side by side (weeks 2 and 3)
Do not switch overnight. For one or two weeks:
- new bookings come in through the new system;
- existing appointments stay where they are, or are moved over in one go;
- you check the new calendar every morning against the old one.
This is the safety net. If something is missing, you notice while the old system is still running.
Step 4: Move every link to your new booking page (week 2)
Clients book where the button is. Replace the booking link in:
- your Instagram and TikTok bio;
- your Google Business Profile ("Book online" button);
- your website;
- your WhatsApp Business profile and auto-replies;
- your email signature and printed QR codes.
Forgetting one of these is the most common reason a switch "loses" bookings.
Step 5: Tell your clients, then cancel the old subscription (week 3 or 4)
Send one short message: your salon has a new booking page, here is the link, and existing appointments stay as they are. Only when every future appointment is in the new calendar do you cancel the old subscription. Check the notice period in your contract first, so you do not pay for months you no longer use.

- Switching in your busiest month. Pick a quieter period if you can.
- Not training the team. Book a test appointment together before the first real client.

- Leaving old links online. Search your salon name on Google after the switch and click every booking button you find.
- Cancelling too early. Keep the old system until the last appointment booked there has taken place, or has been moved over.
